Create & send PDF Invoices

Build professional PDF invoices in seconds. Add line items, apply VAT, set due dates and download or email directly to clients.

Go to Dashboard → New Invoice

Click "New Invoice" from the top quick actions bar. You'll land on the invoice creation form.

Select or create a client

Pick an existing client from the dropdown — their details pre-fill automatically. Or type a new name to create one on the fly.

Add line items

Add services, products or saved items from your library. Set quantity, unit price and VAT rate. Total calculates live.

Set issue & due date

Pick when the invoice was issued and when payment is expected. invly flags it automatically if it goes overdue.

Download PDF or send by email

Download the PDF and send yourself, or with Premium — email directly to your client with one click.

Mark invoices as Paid on the dashboard with one click
Click any invoice number to preview the PDF instantly in a modal

Manage Clients

Save client details once and reuse them on every invoice. No more typing the same name, address and email over and over.

Go to Clients in the nav

Click "Clients" from the navigation. You'll see all your saved clients at a glance.

Add a new client

Hit "New Client" and fill in their name, email, phone and address. These fields auto-fill on future invoices instantly.

View per-client history

Click any client to see every invoice you've ever sent them — paid, unpaid and overdue — all in one place.

Generate a client portal link

Send clients a secure magic link so they can view and download their own invoices without logging in.

Tips
Free plan supports up to 10 clients — upgrade for unlimited
Client portal links expire after 30 days — regenerate them any time from the client page

Go to Quotes in the nav

Access Quotes from the sidebar. Click "New Quote" to start building one.

Build the quote

Select a client, add line items and set an expiry date. Same clean PDF format as your invoices — consistent branding from day one.

Send to client

Download or email the PDF. Mark the quote as Accepted or Declined once you hear back from the client.

Convert to invoice in one click

Hit "Convert to Invoice" on any accepted quote. All line items and client details carry across automatically.

Tips
Set an expiry date — clients see the deadline and respond faster
Once converted, the quote is marked "Invoiced" automatically so you never duplicate it

Recurring Invoices Premium

Set up a recurring invoice once and invly sends it automatically on your schedule. Perfect for retainer clients.

Go to Recurring in the nav

Open the Recurring section. You'll see all active and paused recurring schedules.

Create a schedule

Choose a client, add line items and set the frequency — daily, weekly, monthly or custom. Set start and optional end date.

Activate and forget

Toggle the schedule to Active. invly generates and sends the invoice automatically at the right time every time.

Pause or cancel anytime

Toggle any schedule off at any time. All previously generated invoices stay in your dashboard as normal invoices.

Monthly retainers are ideal for recurring — set once, get paid every month automatically

Track Expenses Premium

Log every business cost. See your net profit, margin and top spending categories alongside your invoices.

Go to Expenses in the nav

Open Expenses from the sidebar. See your dashboard with totals and category breakdown.

Log a new expense

Click "Add Expense". Enter description, supplier, amount, category and date. Attach a receipt if you have one.

See your net profit

invly shows paid revenue minus total expenses = net profit and margin. Also visible on your dashboard KPI card.

Export for your accountant

Download all expenses as a CSV file — ready for your accountant or year-end returns.

Use categories (Software, Travel, Equipment) to see where your money goes each month
The Net Profit KPI card on the dashboard links straight to your expenses page

Payment Calendar Premium

Every invoice due date on a calendar. Know exactly what money is coming in and plan your month with complete clarity.

Open Calendar from the nav

Click "Calendar" in navigation. See the current month with all invoice due dates marked.

Spot upcoming payments

Highlighted days have invoices due. Click any day to see which invoices and clients are due then.

Navigate months

Use arrows to move forward and backward. Plan cashflow weeks ahead by seeing what's coming.

Tips
Use the calendar to spot quiet weeks and time new invoices for consistent cashflow
Overdue invoices appear on their original due date in red — easy to spot what's past due

RCON — Smart Reminders Premium

Go to Profile → RCON tab

Open your Profile page and click the RCON tab in the sidebar navigation.

Toggle Payment Reminders on

Flip the toggle and hit Save. RCON is now active for all your invoices.

Save your recurring services and products once. Add them to any invoice instantly from a searchable library — no more retyping the same line items.

Go to Items in the nav

Open the Items section from the sidebar. See all your saved services, products and prices.

Create a new item

Add a name, description and unit price. Items can be anything — hourly rate, fixed service, product, subscription fee.

Add to invoices instantly

When creating an invoice click "Add from library" to pick saved items. They fill in automatically with your preset price.

Free plan supports up to 10 saved items — upgrade for unlimited
You can still edit price or quantity after adding — saved price is just a starting point
